Summary
JOB SUMMARY STATEMENT: The Court Clerk II, Municipal Court performs a variety of complex clerical and customer service duties in support of the Municipal Court. The Clerk's office operates as an interdependent team, and promotes a positive work culture. The position entails frequent internal and external communication, and requires considerable public relations skills. All Court Clerks access confidential information, therefore a high degree of ethics and professionalism must be maintained. Independent decision-making and problem solving skills are applied to aid staff and the public, operating within guidelines of policy and procedure. Work is performed with increasing responsibility and little review or guidance.
Duties and Responsibilities
DUTIES AND RESPONSIBILITIES:
Provides advanced in person, email, and telephone customer service to the public, external agencies, and internal departments with inquiries related to court procedures, court policies, and case-specific information.
Responsible for entering information into the case management system and ensuring information is complete, detailed, and accurate including: Creating new cases from paper tickets, entering bonds, scheduling court dockets, notifying parties, notifying and providing case information to court appointed attorneys regarding new appointments, and entering conviction and sentencing data.
Imports e-citations from e-ticketing vendor into the case management system, identifying cases for various workflows and reporting ticketing errors.
Receives and processes payments in person, by mail, and online, ensuring that all penalties and financials are assessed and accurate in the case management system.
Balances individual cash drawers at the end of business day.
Processes daily cash out/ balancing for all court transactions by running appropriate reports, logging information into Excel and preparing bank bags and deposit slips.
Scans documents and related materials into the case management system.
Schedules and coordinates language interpreters for all court dockets as needed.
Enters disposition information in the courtroom at the direction of the Judge and/or City Prosecutor, generating probation papers, custody slips, and house arrest orders with accuracy and speed.
Assists defendants and attorneys during court dockets as cases are processed, reconciling complex dockets that require strategic decision-making and remaining up to date on latest court procedures.
Monitors various workflows within the case management system to act within appropriate deadlines, determine whether case information has been recorded accurately, and whether cases are being correctly processed.
Completes follow up action for cases that fail to appear at court, or fail to pay fines and fees, to include initiating driver's license suspensions and collections case processing.
Assists in daily court review for accuracy and completeness in clerk processing.
Reports sentencing information to the required state and criminal justice agencies.
Provides authorized court record information to the public, prosecutor, court appointed attorneys, law enforcement agencies, probation officers, military recruiters, etc., while keeping accurate records of dissemination.
Provides direct substitution for absent clerks, including the Court Services Clerk, and assures all duties and deadlines are accomplished.
Mentors Court Clerk I personnel and may assist with training new personnel.
Performs other related duties as requested or assigned.
General Qualifications
EDUCATION:
Basic education which includes courses in typing, office practices and word processing, or additional equivalent experience.

EXPERIENCE:
Minimum of 1 year in a Court Clerk, or equivalent experience in a legal position or law enforcement agency is required.
Experience in a Municipal Court setting is preferred.

SPECIAL LICENSE(S)/CERTIFICATION(S):
Access to the Kansas Criminal Justice Information System (KCJIS) may be required, so the following KCJIS requirements apply: must be at least 18 years of age; must not have been convicted of a felony; must not have been convicted of a serious misdemeanor; and must not have an arrest history the nature and severity of which warrant disqualification.
