DUTIES AND RESPONSIBILITIES:
Provides in person, email, and telephone customer service to the public, external agencies, and internal departments with inquiries related to court procedures, court policies, and case-specific information.
Responsible for entering information into the case management system and ensuring information is complete, detailed, and accurate including: Creating new cases from paper tickets, entering bonds, scheduling court dockets, notifying parties, notifying and providing case information to court appointed attorneys regarding new appointments, entering conviction and sentencing data, and scanning documents and related materials to the case.
Imports e-citations from e-ticketing vendor into the case management system, identifying cases for various workflows, resolves electronic ticketing import errors, and resolves errors reported by the charging officer.
Enters cash bonds on cases. Researches discrepancies and inaccuracies in financial transactions. Processes insufficient fund checks as needed. Assists with all components of daily and monthly financial reporting and oversees fine collections as assigned. May assist with bankruptcy claims, credit card chargebacks, financial vouchers, and financial reconciliation.
Oversees the standard procedure for issuance, service, and quashing of bench warrants as ordered by the judge. Responsible for ensuring all warrants are based on true and accurate information. Responsible for warrant entry. Responsible for identifying and processing warrant cases ready to be purged.
Oversees the video arraignment docket for all arrested persons in custody awaiting mandatory hearing. Coordinates video courtroom schedule with the Sheriff's department, Court Security Officers and attorneys. Enters disposition information in the courtroom at the direction of the Judge and/or City Prosecutor, generating probation papers, custody slips, and house arrest orders with accuracy and speed.
Serves as liaison to Johnson County organizations (Jail, Community Corrections) and assists in overseeing all programs related to custody and confinement tracking. Processes correspondence from inmates as needed.
Notifies bonding companies of forfeiture and processes forfeited bonds. Serves as liaison to bonding companies. Maintains approved list of bonding companies.
Assists with oversight and configuration of case management software to include security, role set up, documents and forms creation and maintenance, and regular review/processing of Senior level work queues and quality control reports.
Assists with setting up and scheduling dockets in court case management software and the police ticketing software.
May assist with trial scheduling as necessary.
Ensure all technology (copy machine, computers, software) is functional and operational on a daily basis. Resolve technological issues as needed.
Processes motions, subpoenas, expungements and appeals filed with the court.
Reports sentencing information to the required state and criminal justice agencies.
Compiles/submits electronically conviction and/or suspension-reinstatement data to the State of Kansas. Completes all duties of Court Clerks, as needed and assures all duties and deadlines are accomplished.
Assists Court Administration with planning and implementing on-the-job training for court clerk staff. Assesses skill level of new staff and assists with planning the training path. May cross-train veteran court clerks in new duties.
Provides leadership with regard to office culture and processes, serving as a resource and support to Court Clerks.
The employee must work the days and hours necessary to perform all assigned responsibilities and tasks. Must be available (especially during regular business hours or shifts) to communicate with subordinates, supervisors, customers, vendors and any other persons or organization with whom interaction is required to accomplish work and employer goals.
The employee must be punctual and timely in meeting all requirements of performance, including, but not limited to, attendance standards and work deadlines; beginning and ending assignments on time; and scheduled work breaks, where applicable. Performs other related duties as requested or assigned.
