Coordinates the Court Clerk duties, interprets and ensures completion of judge and prosecutor orders outside the courtroom, and oversees all training in the clerk's office. This position requires extensive experience, a high level of accountability, and expertise with regard to clerk operations. Additionally, the Court Systems Coordinator will provide oversight and support of court case management software, other interactive softwares, fine collection, warrant processing, custody processing, assistance with daily and monthly financial reporting, and other duties as assigned.
DUTIES AND RESPONSIBILITIES:
Ensures compliance with operational policies and procedures as mandated by the department, city, and state.
Coordinates daily operations of the court by reviewing all court dockets, maintaining all office equipment, and ensuring that all clerk's office duties are covered, within policy and according to daily priorities.
Monitors clerical work activity and audits cases to assure proper completion of all documents and facilitation of judge and prosecutor orders.
Operates within judicially defined parameters to serve as a final decision-maker outside of the courtroom for interpreting judicial orders with clerk staff.
Verifies and authorizes refunds to defendants as outlined within judicially defined parameters.
Serves as principal trainer and staff development coordinator for training goals, developing and maintaining training support tools.
Coordinates the police officers' municipal trial court appearance schedule.
Ensures that all required daily, weekly, and monthly financial reports are generated. Completes financial tasks including the bond ledger/log, restitutions, invoice processing, and reconciling the daily deposit with financial activity reports. Monitors the division's financial statements.
Serves as the assistant technical manager/administrator of Court Case Management System, interfaces with PD e-ticketing software and KDOR reporting and other interfaces as they occur. This includes supporting the Deputy Court Administrator in coordinating with IT and PD for all Case Management System and interface issues, overseeing and testing new releases, modifications and updates to court and e-ticketing software tables and forms, and programming court dockets.
Assists in preparing and disseminating information to appropriate departments and agencies such as calendars, court schedules, bonding company lists, fine schedules, bond schedules and other materials as required.
Assists in identifying, investigating, resolving and if necessary, correcting issues related to court records, criminal history, driving records, financial transactions, credit card processor chargebacks, bankruptcy notifications and any other items as required.
Assists in oversight of all warrant related items, to include verification of validity of warrant orders, creation, entry, service, quashing, review and removal per judicial order and policy.
Assists in overseeing all programs related to custody and confinement tracking.
Perform other duties as assigned.
The employee must work the days and hours necessary to perform all assigned responsibilities and tasks. Must be available (especially during regular business hours or shifts) to communicate with subordinates, supervisors, customers, vendors and any other persons or organizations with whom interaction is required to accomplish work or goals.
The employee must be punctual and timely in meeting all requirements of performance, including, but not limited to, attendance standards and work deadlines; beginning and ending assignments on time; and scheduled work breaks, where applicable.
GENERAL QUALIFICATIONS
EDUCATION & SPECIAL LICENSE(S)/CERTIFICATIONS:
Associates degree, Bachelor's preferred
Access to the Kansas Criminal Justice Information System (KCJIS) is required, so the following KCJIS requirements apply:
Must be at least 18 years of age.
Must not have any felony or serious misdemeanor conviction(s).

Minimum of three years professional experience in a criminal justice or legal setting required, Overland Park preferred.
