Summary
The Events Supervisor helps coordinate and support community events for the City of Overland Park Parks and Recreation Department. This role requires a creative, detail-oriented individual with strong communication and organizational skills to ensure successful and memorable experiences for residents and visitors. This position supports planning and coordination of small to mid-sized events.
Duties and Responsibilities
Assists in developing event plans and logistics, including gathering vendor information and supporting budget tracking.
Coordinate with internal departments and external partners to ensure seamless event execution.
Coordinates with the City Communications Department to manage event promotion and marketing efforts, including creating promotional materials and utilizing various communication channels.
Oversee on-site event management, including setup, breakdown, and troubleshooting.
Provides direction to volunteers during events as needed.
Ensure compliance with all relevant safety regulations, permits, and city ordinances.
Evaluate event success through post-event analysis and feedback collection.
Maintain accurate records of event details, expenses, and attendance.
The employee must work the days and hours necessary to perform all assigned responsibilities and tasks. Must be available (especially during rentals and events) to communicate with subordinates, supervisors, customers, vendors and any other persons or organization with which interaction is required to accomplish work and employer goals. Weekend work should be expected.
The employee must be punctual and timely in meeting all requirements of performance, including, but not limited to, attendance standards and work deadlines; beginning and ending assignments on time; and scheduled work breaks, where applicable.
Other duties and responsibilities may be assigned.
General Qualifications
EDUCATION & SPECIAL LICENSE(S)/CERTIFICATIONS:
Bachelor's degree in parks and recreation management, event management, marketing, public relations, hospitality, or related field or an equivalent combination of education and experience.
Possession of appropriate, valid driver's license.
Must maintain an insurable driving record.
Crowd Management Certification within 6 months of hire.
CPR and first aid certification preferred.
EXPERIENCE:
Minimum of 2-3 years of experience in event planning and coordination, preferably in a municipal or non-profit setting.
